Processing of sensitive personal data
With your registration, you accept that Totem can save your personal data in our database and candidate database. 

If you do not consent to the processing of your personal data in accordance with what is stated below, you will not be allowed to register your personal data.

At Totem, we work as an agent for our candidates and we are concerned with recruitment (search & selection). Therefore we store your data and certain personal data to be able to evaluate your profile in relation to the specific position you may be seeking and the requirements expressed to us by enterprises / organisations.  In order for us to offer you being a candidate for positions, we need to share your personal data with our clients.

We also assess you in relation to other relevant positions on the basis of your background and experience and we will then contact you to discuss these options.

Totem’s concept of both being an agent for you as a candidate and performing recruitment tasks offers you the possibility of being matched with many positions. That means that your data may be disclosed to and processed by enterprises / organisations with which Totem collaborates.

With your registration, you therefore expressly consent to this data processing occurring.

We protect your integrity and give you full control of your personal data. You have the possibility of deleting and editing your data at any time by logging on and modifying or deleting your profile. 

If you want to send an e-mail instead and thereby be deleted you can use the address info@totem.dk.

CO-Placement Basic

You will receive a confirmation that we have received your CV and cover letter. You are registered and as a main rule we keep your data for two years. The CV and cover letter are kept in a digital form and are not printed. Everything is deleted after two years. You have the possibility of deleting and editing your data at any time by logging on and modifying or deleting your profile.

When you are relevant in connection with a job, we disclose your CV and cover letter to our client. In that connection, our client must observe the same rules as we do.

CO-Placement plus

You will receive a confirmation that we have received your CV and cover letter when our dialogue starts as described below under the concept. You are registered and we keep your data for the period we have agreed on – typically one to two years. The CV and cover letter are kept in a digital form and are not printed. After the agreed period, everything is deleted. You have the possibility of deleting and editing your data at any time by logging on and modifying or deleting your profile yourself or by contacting us.

When you are relevant in connection with a job, we disclose your CV, cover letter and other relevant information such as test results to our client. In this connection, our client takes over the responsibility for observance of the rules on processing of personal data.

CO-Placement premium

You will receive a confirmation that we have received your CV and cover letter when our dialogue starts as described below under the concept. You are registered and we keep your data for the period we have agreed on – typically one to three years. The CV and cover letter are kept in a digital form and are not printed. After the agreed period, everything is deleted. You have the possibility of deleting and editing your data at any time by logging on and modifying or deleting your profile yourself or by contacting us.

In the first instance, you are presented anonymously to the enterprise / organisation. Totem pitches your candidacy and not until you yourself are to meet with the enterprise / organisation do we disclose your CV, cover letter and other relevant information such as test results.

IN-Placement premium (if you do not proceed in the process)

You will receive a confirmation that we have received your CV and cover letter. At the same time we inform you that we will revert when we have a general picture. The CV and cover letter are kept in a digital form and are not printed.

If you do not proceed in the process we send a rejection with information that your CV and cover letter are kept for two years. Everything is deleted after two years. You have the possibility of deleting and editing your data at any time by logging on and modifying or deleting your profile.

When you are relevant in connection with another job, we disclose your CV and cover letter to our client after prior acceptance from you. In this connection, our client takes over the responsibility for observance of the rules on processing of personal data.

IN-Placement premium (where you proceed in the process)

You will receive a confirmation that we have received your CV and cover letter. At the same time we inform you that we will revert when we have a general picture. The CV and cover letter are kept in a digital form and are not printed.

If you proceed in the process, we invite you to a discussion where the process for the specific recruitment is reviewed. If you and we still want to proceed with your candidacy, we disclose your CV, cover letter and test results to our client. In this connection, our client takes over the responsibility for observance of the rules on processing of personal data.

If you have proceeded, but do not get the job, we send a rejection with information that your CV and cover letter are kept for two years. Everything is deleted after two years. You have the possibility of deleting and editing your data at any time by logging on and modifying or deleting your profile.

When you are relevant in connection with another job, we disclose your CV and cover letter to our client after prior acceptance from you. In this connection, our client takes over the responsibility for observance of the rules on processing of personal data.

Printing

The CV, cover letter, test results etc. are kept in a digital form and are not printed. There may be instances, however, where the overall material is printed by us in connection with presentation to an enterprise / organisation in connection with IN-Placement premium recruitment. All printed material is shredded immediately after.

Particularly sensitive personal data

In accordance with current national and European legislation, Totem does not want to receive particularly sensitive personal data. Therefore, as a candidate, you are not to share sensitive personal data with us. That is to say data concerning ethnicity, political, religious or philosophical views, genetic data, biometric data, trade union membership, sexual orientation or health details. If we become aware that such data exists we will remove it. We ask you not to state references until this has been agreed with us.

Data processing agreements

Totem is registered at the Danish Data Protection Agency. We have concluded data processing agreements with relevant suppliers such as test supplier, IT and database suppliers.
